Member Experience Coordinator
12 Month FTC
Our client

Our clients run a brand of curated, flexible workspaces across New Zealand. With a core focus on Design and Ambiance, this business has grown across New Zealand with multiple sites across Auckland and the South Island. With organisations now looking to prioritise flexible working arrangements, our client is now home to a vibrant community of New Zealand’s most exciting businesses.

The Role

With a key team member heading off on maternity leave, we’re looking for a true all-rounder – someone who can operate as a “Swiss army knife” across Member Experience, Sales, Marketing and Facilities.

This is a hands-on, high-trust role with plenty of autonomy. You’ll be empowered to take ownership, make decisions, and keep multiple plates spinning in a fast-paced environment.

The ideal candidate will have a genuine passion for building and nurturing relationships, while also thriving in the operational side of the role – bringing spaces to life through marketing initiatives, events, and community activations. You’ll enjoy variety, take pride in the details, and be comfortable switching between strategic thinking and rolling up your sleeves

Facilities

  • Ensure all Auckland locations are presented to an exceptional standard, reflecting the company’s brand and vision. This includes visual presentation, ambience, scent, music, food and beverage areas, and artwork.
  • Maintain brand identity and product quality to a consistently high standard, using strong attention to detail to identify wear and tear or issues and ensure they are resolved promptly.
  • Develop and uphold quality assurance policies and procedures.
  • Implement and help refine operational processes to drive efficiency and automation.
  • Work closely with the General Manager, using initiative to continuously improve facilities and overall offering.
  • Coordinate building repairs and maintenance, proactively identifying potential issues and ensuring all facilities and systems operate smoothly.

Member Experience & Sales

  • Maintain high occupancy levels across all locations by generating leads and supporting sales activity.
  • Build strong relationships with members, staying ahead of their evolving needs.
  • Deliver excellence across every member touchpoint.
  • Foster a strong and engaging community culture.
  • Respond to enquiries professionally and consistently in line with brand tone of voice guidelines.
  • Conduct tours for prospective members, clearly communicating the value proposition, ethos, and benefits of the spaces.
  • Qualify new leads by gathering and recording relevant information about their business and requirements.
  • Create and maintain a database of prospective tenants.
  • Prepare reports summarising sales performance, from lead generation through to signed agreements.
  • Manage tenancy schedules, anticipate upcoming vacancies, and coordinate lease renewals.
  • Negotiate lease and membership terms with new tenants.

General Administration

  • Support the accounts team with invoicing processes using the relevant property management or finance systems.
  • Maintain and update the CRM contact management system.
  • Issue invoices for printing, additional security access cards, keys, and other consumables as required.

About you

You might come from a sales, facilities, hospitality, workplace services, property, events – or any hands-on operational role where you’ve had to juggle multiple moving parts.

More importantly, you are:

  • Highly organised and naturally proactive.
  • Practical and solutions-focused – you don’t wait around.
  • Great with people and confident with contractors.
  • Detail-oriented with high standards.
  • Self-directed and reliable – if you say you’ll do it, it gets done.
  • Comfortable using basic systems and checklists to stay on top of things.

Culture / Benefits

  • Small, tight-knit team with a strong, established culture.
  • Real autonomy and ownership – plan your day in a way that works for you.
  • Genuine variety – moving between four city studios keeps things fresh.
  • The opportunity to shape and improve how the spaces operate.
  • Great members who are friendly, professional and always keen for a chat.
  • A role where your impact is visible every single day.
