This Office Manager role is the engine behind a smooth, connected, and engaging workplace. Sitting at the crossroads of operations, culture, and people experience, you’ll manage the tools, systems, and workflows that keep everything running—whether it’s setting up tech, onboarding new hires, or planning team events.
As a part-time role, this position could suit a parent looking for flexibility around the school run, or someone balancing work with a side hustle. Whatever your situation, you’ll thrive in fast-paced environments, enjoy creating structure, and excel at bringing people together.
Office Operations & Systems
- Ensure the office is welcoming, functional, and fully stocked—from meeting rooms and AV to kitchen supplies and hot desks.
- Coordinate with suppliers (e.g. cleaning, tech, furniture) and troubleshoot issues to keep things running smoothly.
- Manage office layout and flow, balancing practicality with comfort and connection.
Tech & Equipment
- Set up laptops, monitors, and accessories for new hires; manage desk moves and hardware upgrades.
- Liaise with external IT support and keep accurate records of equipment and allocations.
- Ensure tech runs smoothly for all-hands meetings and internal events.
People Experience & Culture
- Partner with the Head of People & Culture to deliver seamless onboarding and offboarding, including swag, tech, and system access.
- Support early-stage recruitment (e.g. job ads, CV management, tracking approvals).
- Plan team events, lunches, and rituals that connect office and remote staff creatively.
- Be a culture ambassador—drive recognition, support internal comms, and foster a sense of belonging.
Admin & Workflow
- Manage internal workflows, tools (including AI), and software access; maintain clear and accurate records.
- Administer expense and bonus processes in partnership with Finance.
- Support payroll updates, subscription management, and internal tools.
- Use HiBob, Monday.com, and Microsoft 365 confidently to maintain clarity and structure.
- Work with the COO and Head of People to continuously improve systems, communication, and employee touchpoints.
- Champion sustainability, equity, and community values in line with our B Corp goals.
What you bring
- Experience in office management, operations, or admin-heavy roles—ideally in tech or fast-paced environments.
- Confidence with modern tools (e.g. Microsoft 365, HiBob, Monday.com, Chat GPT) and a quick learner.
- Highly organised, with a knack for juggling tasks and staying ahead of details.
- A genuine want or need for a part time role
- Strong communicator—written, verbal, async, and in person.
- A people-first mindset and passion for building community in a hybrid workplace.
- Comfortable resolving minor tech issues and coordinating with IT support.
